Administrative Assistant

Wage: $25.06-$32.36/hr. DOE

           

POSITION SUMMARY:

Provides administrative assistance to executive and administrative staff.  Responsible for administrative support for the management staff including assembling highly confidential and sensitive information. Responsible for main lobby reception, answering multiple phone lines, Fare Card sales, monitoring and processing purchase orders, maintains office supply inventory, and internal and external customer service. Independent judgment is required to plan, prioritize, and organize diversified workload.

 


 

WAGE:

  • $25.06-$32.36/hr. DOE

SCHEDULE:

  • Monday-Friday 8am-4:30pm

 

JOB DUTIES/RESPONSIBILITIES:

  • Provide administrative assistance and support for the Administrative and Executive Departments including production of a variety of correspondence, records, reports, files, copies, and other documents
  • Arrange accommodations for meetings; coordinate and schedule travel, staff vehicle, and room arrangements for staff
  • Act as agency receptionist, answering and directing phone calls, greeting, announcing, and directing visitors; open and close lobby at start and end of business hours
  • Create Agency’s electronic requisitions (E-Reqs) system daily to ensure requisitions contain proper coding allocations
  • Process E-Reqs to purchase orders for routine and small acquisitions
  • Request quotations and place orders with established vendors
  • Prepare and issue purchase orders for non-stock supplies, materials, and equipment that are under the Small Acquisition Threshold (SAT)
  • Maintain office supply inventory and replenish as necessary
  • Maintain a constant and observant presence at the reception desk; check in all visitors and issue badges as required
  • Continual awareness of all persons passing through lobby and/or suspicious items, persons, or situations; alert management of suspicious activity
  • Track schedules and contact information of management and other employees and disseminates information as required; maintain conference room and room reservation schedules
  • Custodian of Fare Card till; reconcile cash drawer at end of each business day; answer routine fare card questions from customers
  • Receive checks for Agency; write receipts, and track as required
  • Count bus fares in the Agency vault and prepare associated deposit paperwork
  • Assist the Service Coordinator – Skagit Station with maintaining the Agency’s Reduced Fare Program (RFP)
  • Maintain inventory of document boxes in storage; coordinate annual document destruction based on Agency record retention guidelines
  • Develop, produce, and distribute quarterly Agency newsletter
  • Process and sort all outgoing and incoming mail and faxes; agency contact for mailing questions and assistance
  • Maintain administration workroom, lobby, and bulletin board; organize and replenish supplies, brochures, and forms as needed
  • Schedule meeting room reservations at Skagit Station
  • Back up for the Service Coordinator – Skagit Station
  • Make deliveries and run errands as requested
  • Perform other related duties as assigned

 

MINIMUM QUALIFICATIONS:

Any equivalent combination of education and experience that provide the knowledge, skills and abilities required to successfully perform the job. A typical way to meet this requirement would be:

 

  • High school diploma or equivalent
  • 3 years of increasingly responsible administrative support experience 
  • Public sector experience is preferred
  • Valid Washington State Driver’s License
  • Maintain acceptable driving record
